Time Management & Prioritization
Time Management & Prioritization
Oaga Art Resort, Maldives | April 9, 2025
Facilitated by Nick Jonsson & Dona Amelia
On April 9, 2025, we returned to Oaga Art Resort for Session 2 of our leadership series—this time focusing on a vital and often overlooked theme:
How do we protect our time and energy—so we can lead with clarity, purpose, and impact?
Led by Nick Jonsson, Certified Master Coach and bestselling author, alongside Dona Amelia, this immersive session went far beyond calendars and to-do lists. It gave leaders the tools—and the permission—to step out of reactivity and into strategic, purpose-driven leadership.
🎯 The Theme: Time = Leadership Power
Nick opened the session with a provocative question:
👉 “What’s been your biggest time challenge recently?”
From there, we zoomed out to the big picture.
Time is not just a resource—it’s our leadership currency.
Where we spend it reflects what we value.
💡 Why It Mattered
In today’s fast-paced environment, most leaders are overwhelmed not because they’re unmotivated—but because they’re overcommitted.
“Today is not about doing more. It’s about doing what matters most.”
– Nick Jonsson
This session offered a powerful reset. As one participant shared:
“The best session I had so far.”
🔸 What We Explored
✅ Spot the Time Traps
We began with awareness: what’s silently draining your focus and energy?
Participants identified common time traps like:
Constant interruptions
Multitasking
People-pleasing
Perfectionism
Avoiding difficult tasks
Nick posed a reflective question:
“How much of your time last week was intentional—and how much was spent reacting?”
This led to some eye-opening conversations—and honest commitments to change.
🧠 Tools to Prioritize What Matters
🧭 The Eisenhower Matrix
Learn to separate what’s urgent from what’s truly important—so you stop firefighting and start leading.
📊 The 80/20 Rule
We focused on the vital few:
20% of actions = 80% of outcomes
20% of clients = 80% of results
20% of decisions = 80% of momentum
“What’s in your 20%? What would change everything if done consistently?”
🐸 Eat That Frog
Nick shared his personal philosophy:
“I used to make this book mandatory for all new staff—and I still buy copies today, including one for my son.”
The takeaway?
Your “frog” is your most important, most avoided task. Do it first.
Get it done. Free your mind.
One participant reflected:
“Very insightful and covered key skills. Actionable feedback for growth. Highly recommend!”
🗓️ Plan Like a Pro
🕒 The Weekly CEO Hour
One sacred hour each week to zoom out, reset, and realign:
What worked last week?
What matters most this week?
What can I delegate or let go of?
🌞 Healthy Morning Routine
We explored simple habits that supercharge clarity:
Movement or breathwork
Gratitude and reflection
Clear top 3 priorities
No phone for the first 30 minutes
📅 Daily Planning
Time-blocking focus work
Theme days
End-of-day reflections
Tools like Notion, Outlook, Asana, or even pen & paper
“Structure your day with clarity—not chaos.”
🚦 Let Go & Lead
🙅♀️ Saying No with Grace
Every “yes” is a “no” to something else. We practiced setting boundaries with kindness and clarity—because protecting your time is protecting your purpose.
🔄 Delegation = Leadership
We tackled the misconception that delegation is “dumping.”
Instead, it’s a leadership skill that:
Empowers others
Develops trust
Frees you for higher impact
One participant put it simply:
“Excellent workshop. Very productive to change life with positive vibes ❤️.”
🌟 Purpose-Driven Time Planning
We ended the session by asking each leader:
“Does your calendar reflect who you truly want to become?”
Everyone created a Purpose-Driven Time Plan, aligning:
Core values
Professional goals
Personal wellbeing
Boundaries and focus rituals
The message was clear:
“You don’t need more time. You need more intention.”
💬 What Participants Said
